JOB BRIEF
The U.S. Institute of Peace seeks to hire an entry level professional who will support the Sudan and South Sudan programs. The Program Assistant’s portfolio will be comprised of events support, contracts support, basic research and writing, and other duties as they arise. The Program Assistant should be highly organized and adept at learning and navigating USIP’s various systems for events and contracts. S/he should also have some substantive background in international affairs, conflict management, or Africa programming. The Program Assistant will support the Africa Director, the Program Manager for Sudan and South Sudan, and the Senior Program Officer for Sudan. This is a scope of work contractor position.
RESPONSIBILITIES
Provide substantive and administrative support for small and large invite-only meetings and public events for Sudan and South Sudan. This includes:
  •  Regularly updating the Sudan Working Group and South Sudan Working Group lists and consulting internally as needed on invitees
  • Drafting invitation text and taking RSVPs for events
  • Using USIP’s event systems to reserve rooms
  • Arranging for food and refreshments as needed
  •  Liaising with reception and security to grant building access to guests and greeting and escorting guests
  • Operating the virtual portion of the event, including reserving Zoom or teleconference lines in advance and operating platforms during the meetings to allow for remote participation.
Provide Sudan and South Sudan program design, implementation, and reporting support. This too includes:
  • Supporting drafting concept notes
  • Supporting drafting quarterly reports
  • Supporting project tracking and reviewing project deliverables
  • Manage the documentation of events and projects, including recording developments in USIP’s QuickBase system
  • Preparing summary event and project documentation for USIP’s executive office and other departments as needed.
Attend meetings on Sudan and South Sudan around Washington, DC. This includes
  •  Taking notes and distributing them to the team
  • Serving as a connector and representative when the Senior Program Officer for Sudan is unable to be physically present for the meeting, setting up the systems to allow for her remote participation.
Coordinating the publications peer review process in line with publications guidelines and deadlines.

Build relationships and liaise with other departments at USIP as needed to accomplish the above tasks.

Other duties as required.

QUALIFICATIONS
  • A Bachelor’s degree in conflict, international development, political science, or a related field.
  •  One (1) plus years of work experience in conflict management or a related field.
  •  Attention to detail and the ability to succeed in fast-paced work environment
  •  Proficiency in Microsoft Office suite and willingness to learn new systems.
  • Superb writing skills and verbal communication skills.
  • Arabic language skills a plus.

Compensation is commensurate with qualifications and experience.
